Our finance and legal departments recently requested a dedicated Office 365 backup solution because relying only on Microsoft's retention policies no longer satisfies our internal compliance requirements. We need independent backups that can be restored quickly whenever users accidentally delete important emails or when auditors request historical mailbox information. Since our organization handles confidential customer records every day, preserving every email exactly as it was originally received is extremely important.
We first considered exporting mailboxes manually, but after testing the process, it became obvious that it isn't realistic for dozens of users. Manual exports require too much administrative effort, don't scale well, and increase the possibility of human error. We also need a solution that can selectively back up mailboxes based on date ranges while eliminating duplicate emails to reduce storage requirements. Since some of our mailboxes are extremely large, support for splitting PST files would also be beneficial.
While comparing different products, I came across DRS Softech Office 365 Backup Tool. From what I've read, it supports complete backup of Office 365 mailboxes, public folders, and archive folders while preserving folder hierarchy, metadata, attachments, contacts, and calendars. The software also allows administrators to export mailbox data into formats such as PST, MBOX, PDF, EML, and several others. Features like Assign Impersonation Rights, Preview before backup, Remove Duplicate Emails, Date Filter, Split PST, Save Attachments Separately, and migration to cloud platforms make it look like a complete business solution rather than a simple export utility.
Our biggest priorities are data security, minimal downtime during scheduled backups, compliance readiness, and dependable technical support whenever problems occur. We cannot risk backup failures caused by permission errors or incomplete mailbox exports because recovering lost business information later could be impossible.
